Recording a Session

Moderators can record any Collaborate session.  All activity from the main room will be recorded, excluding Private messages and Breakout rooms.  At the start of the session Moderators will be presented with the option to start the recording immediately; however, a recording can be started, stopped, or paused at any time during the session.

View Recordings

Recordings are available through the Portal course that the session was originally created in. Recordings are not retained permanently.  To keep a copy of any recordings see the information about downloading and also converting and saving recordings.

  1. In your course, expand the Control Panel, under Course Tools select Blackboard Collaborate and click on the Recordings tab.

    Recordings
  2. All of your recordings will be listed on this page. Please note that you will have to adjust the display timeframe if your recording falls outside of the default display period.
  3. To play your recording, click on the title of the session.
  4. To distribute a recording to your students via a content item in Blackboard, navigate to the Blackboard Collaborate List Page, hover your mouse overtop the recording title to expose the contextual menu and select add link.

Moblie Devices and Blackboard Collaborate Recordings: Recordings in their native Blackboard Collaborate .collab format cannot be watched on mobile devices. However, instructors can convert recordings to different formats such as MP3 and MP4 which can be viewed on any device that supports playing MP3/MP4 formats, including iOS and Android devices.

Download Collaborate Recordings for Reuse and Archiving

Recordings created using Blackboard Collaborate are not archived, they follow the Portal Course Lifecycle and are only available for viewing for the duration of the Portal course. Once a course is no longer available to the instructor the recordings will be deleted.

To reuse and archive Collaborate recordings, instructors should downoad and save the recordings in their native Blackboard Collaborate or a converted format. In order to download recordings:

  1. In your course, expand the Control Panel, under Course Tools select Blackboard Collaborate and click on the Recordings tab. Find the recorded session and click on the title.
  2. When given the option to run or save the file, select the option to SAVE.

Downloaded recording files in their native .collab format can be watched using Blackboard Collaborate launcher. Instructors can also convert recordings to multimedia files in different formats. Instructions on how to convert recorded sessions are included below.

Convert and Save Recordings

A. Using the Recording Converter Tool

Instructors can use the Recording Converter tool to convert recordings to MP3 and MP4 formats. The converted files can be streamed from the hosted Streaming Service or downloaded and saved locally for playback when offline.

  • MP3 files – MP3 files contain Audio content only. Audio in this case refers to audio generated by pressing the Talk button. Any audio that comes from other sources, such as playing multimedia files, is not captured in a separate audio stream and cannot be converted to an MP3 file.
  • MP4 files – MP4 files contain the Audio, Whiteboard and Application Sharing content. All other information (including Chat, Polling, emoticon feedback, Web Tour, Video and Multimedia content) will not be retained in the converted MP4 format. The original, native Blackboard Collaborate recording should be viewed to see this content.

NOTE: Recordings converted to MP3/MP4 formats using the Recording Converter tool are hosted on a third-party service outside of Canada. If you wish to convert and save recordings locally, please use the Blackboard Collaborate Publish software.

Recording Converter tool is available through the Portal course that the session was originally created in.

  1. In your course, expand the Control Panel, under Course Tools select Blackboard Collaborate and click on the Recordings tab.
  2. All of your recordings will be listed on this page. Please note that you will have to adjust the display timeframe if your recording falls outside of the default display period.
  3. To convert a recording, click the Convert button for the format you need. Converting to MP4 will take more than double the length of the original recording.

Convert Recordings

  1. Refresh the list of recordings to see if the conversion is complete.
  2. Once the conversion is complete, the Convert button changes to a Play Button Play button.

Play Recording

  1. Click the Play button to choose to play the converted recoding or download and save it on your local computer.

Play or Download the Recording

NOTE: Older MP4 files will be automatically deleted, as needed, to make space for newly converted recordings once the global storage capacity is reached. The system will delete the files that have not been viewed or downloaded recently, not necessarily the ones that were created first. The deleted converted recordings can be re-converted as long as the original Collaborate recording (VCR) is still available.

B. Using the Blackboard Collaborate Publish software

Collaborate provides an additional product called Publish to convert recorded sessions into video files that can be distributed outside of the Learning Portal.

Recordings can be converted to the following media formats:

  • AVI (Audio Video Interleave)
  • FLV (Flash video)
  • H.264 (MPEG-4 video with H.264 compression)
  • MOV (QuickTime video)
  • MP4 (MPEG-4 video)
  • WMV (Windows Media Video)
  • MRF (Media Recording File)

Converted audio and video files can be stored and shared via the Library's MyMedia streaming server (https://mymedia.library.utoronto.ca).  Files stored in MyMedia can be made available to larger groups of individuals and for a longer period of time than what is available through Learning Portal courses.

Note: Recent changes to MyMedia have affected existing links to audio and video files uploaded to MyMedia. If you are receiving an error message when selecting the current links to audio or video files posted on MyMedia, please update the embed code.

  1. Download Collaborate Publish. The software can be found here: Download Collaborate Publish1.  Documentation on its use can be found here:  Publish Installation and User's Guide1 (pdf)
  2. In your course, expand the Control Panel, under Course Tools select Blackboard Collaborate and click on the Recordings tab. Find the recorded session and click on the title.
  3. When given the option to run or save the file, select the option to SAVE and rename the file from "meeting.collab" to "play.jnlp" in order for Collaborate Publish to recognize the file type (.jnlp).
  4. Open Collaborate Publish and browse to where you saved the newly named JNLP file.
  5. Select the options for the file conversion and click Convert.
