Organization leaders can allow users to enroll themselves in their organizations as participants. Leaders can limit self-enrollment by time period or access code.

NOTE: Regardless of which enrollment option you choose, participants cannot un-enroll themselves. All un-enrollment must be done by the organization leader using the My Organizations Plus module. If needed, contact the Portal Help support group at portal.help@utoronto.ca for assistance.

 

Enable Self-Enrollment in your Organization

 

Enable Self-Enrollment

  1. In your organization, go to the Control Panel > Customization > Enrollment Options
  2. Select "Self Enrollment"
  3. If desired, set dates for enrollment availability. If no dates are selected, enrollment will always be open
  4. If desired, an access code can be created to verify enrollment. If you select Require Access Code to Enroll, provide users with the text to use for the access code.
  5. Click Submit

 

Self-Enrollment instructions for Organization Participants

  1. On your Portal page, go to the Community tab on top-right of the page
  2. Enter all or part of the organization name in the Organization Search field and click the Go button
  3. Locate the organization you are looking for in the resulting list. If it does not show up in the list, try searching again with different keywords
  4. Hover your cursor over the organization ID. If Self-Enrollment is enabled for the organization you will see an arrow action link beside the organization ID. Click on the action link, and then click Enroll in the drop-down menu.
  5. Some organizations require an access code for self-enrollment. If so, enter the Access Code given to you by the organization leader and click Submit.
  6. If not, simply click Submit on the Organization enrollment page.
  7. Click OK on the next page to proceed to the organization
  8. You can now access the organization from My Organizations Plus module on My Page or Community tab once you log into Portal

NOTE:  If you do not have the option to self-enroll, please contact the leader of the organization to request access. The Portal Help staff cannot give you access to an organization without the organization leader’s permission.

 

Provide the direct link to the Self-Enrollment page for your organization

The leaders of the organizations may wish to provide the direct link to the Self-Enrollment page for their organization by using UT Portal Link Generator module, so the users do not need to search for the organization on Portal. The UT Portal Link Generator module allows the Portal users to share a link to a specific area within the Portal to others. The module is accessible from My Page and will convert links to the Portal so that users are prompted to log in with their UTORid and then be brought to the specific item or area after signing in.

 

Step 1: Add the UT Portal Link Generator module to My Page:

  1. Go to https://portal.utoronto.ca and sign in.
  2. On My Page, click on Add Module in the top left.
  3. In the search box in the top left, type in UT Portal Link Generator.
  4. From the search results on the right, click on Add beneath the UT Portal Link Generator listing.
  5. Click OK.
  6. The UT Portal Link Generator module will be added to My Page

 

Step 2: Generate the direct link to the Self-Enrollment page for your Organization

  1. On your Portal page, go to the Community tab on top-right of the page
  2. Enter all or part of your organization name in the Organization Search field and click the Go button
  3. Locate your organization and hover your cursor over the organization ID. Click on the action link beside your organization ID, and click Enroll in the drop-down menu
  4. Once you are directed to the Self Enrollment page, copy the URL displayed in the browser address bar
  5. Go to My Page tab
  6. Paste the URL in the empty field on the UT Portal Link Generator module
  7. Click the Generate button
  8. The generated link will provide users with the direct access to the Self-Enrollment page of your organization. After accessing the page users need to click the Submit button to be enrolled in your organization as stated in #6 under Self-Enrollment instructions for Organization Participants
